Microsoft Dynamics GP 2015 Purchasing All in One View

In Microsoft Dynamics GP2015, there are several new features.  One that may be useful is the Purchasing All in One View.  After selecting the appropriate vendor, this view enables the user to view Purchase Orders, Receipts, Invoices, Payments, and Returns.

Purchase Orders:  This view may be sorted by Purchase Order Date and allows the user to view the summary purchase order information, such as PO Amount, Number, Date, and Status.   By clicking the expansion arrow at the lower right, the user can further see the Requested Date, Prepayments, and Shipping Address.

This view can be further filtered by selecting the filter button. You may select the Include Open or Historical Purchase orders.  You may further filter by key PO data as seen below.   The Options button allows for multiple criteria be selected.

Receipts:  This view may be sorted by Receipt Date and allows the user to view the summary receipt information, such as Receipt Amount, Receipt Number, Receipt Date, and Batch ID.  By clicking the expansion arrow at the lower right, the user can see more receipt details.

This view can be further filtered by selecting the filter button. You may select the Include Saved, Posted or Shipment Invoices.  You may further filter by key Receipt data as seen below.   The Options button allows for multiple criteria be selected.

Invoices This view may be sorted by Invoice Date and allows the user to view the summary invoice information, such as Invoice Amount, Voucher Number, Document Date, and Document Number.  By clicking the expansion arrow at the lower right, the user can further see the Receipt Number, Due Date, Prepayments, and Applied Amounts.

This view can be further filtered by selecting the filter button. You may select the Include Saved, Posted or History Invoices.  You may further filter by key AP data as seen below.   The Options button allows for multiple criteria be selected.

Payments This view may be sorted by Payment Date and allows the user to view the summary Payment information, such as Payment Amount, Payment Number, Payment Date, and Document Number.  By clicking the expansion arrow at the lower right, the user can see more payment details.

This view can be further filtered by selecting the filter button. You may select the Include Saved, Posted, History, and Fully Applied.  You may further filter by key Payment data as seen below.   The Options button allows for multiple criteria be selected.

Returns:  This view may be sorted by Return Date and allows the user to view the summary Return information, such as Return Amount, Return Number, Return Date, and Document Number.  By clicking the expansion arrow at the lower right, the user can see more Return details.

This view can be further filtered by selecting the filter button. You may select the Include Saved, Posted or History.  You may further filter by key Return data as seen below.   The Options button allows for multiple criteria be selected.

Security:

In order to access the Purchasing All in One view, security must be setup.   To add security for this view, a task and roll for the view must be added.  Then the user(s) must be assigned to the roll.  Here are the steps to setup security for the Purchasing All in one view:

Add a new Task

·       Select Microsoft Dynamics GP-Tools-Setup-System-Security Task

·       Provide a Task ID (ex. All_in_One)

·       Provide a Task Name and Task Description to identify the task

·       Select the Purchasing Category

·       Select Microsoft Dynamics GP as the product

·       Select Windows as the Type

·       Select Purchasing as the Series

·       Select Full for User Type

·       After the screen populates, select Purchasing All in One View

Add a new Roll or Assign to and existing Roll

·       Select Microsoft Dynamics GP-Tools-Setup-System-Security Roll

·       Provide a Roll ID (ex. ALL_IN_ONE)

·       Provide a Roll Name and Roll Description to identify the task

·       After the screen populates, select the Task created above (ex. ALL_IN_ONE)
