Utilize the Dynamics GP PSTL Part VI: Payroll Tools

This is Part VI: Payroll Tools from my blog series on utilizing the Dynamics GP PSTL.  The five previous blogs addressed the System, Financial, Purchasing, Sales, and Inventory sections of the PSTL.

In this blog, I wanted to discuss the two Payroll Tools listed under the Payroll Tools grid:  Certified Payroll Report and Employee Modifier.

To access the PSTL tools, the tools must be installed for Dynamics GP and a shortcut created on the Navigation pane of the Dynamics GP desktop.  The PSTL software is located on the Dynamics GP installation disk.

To create the shortcut to PSTL:

  • Right click in the Dynamics GP Navigation Pane
  • Select Add
  • Add Window
  • Type the Name of the Shortcut and window
  • Expand the Technical Service Tools option
  • Expand the Project option
  • Select Professional Services Tools Library

Payroll Tools:  When running any PSTL tool, always remember to make a backup before performing the action.

Certified Payroll Report

This tool enables the user to utilize the Certified Payroll feature within Dynamics GP.  To use the feature once activated, enter the Job Number while entering your payroll transactions.

To Activate the Certified Payroll feature:

  • Start the PSTL function in Dynamics GP
  • Select the check box next to Certified Payroll Report option
  • Close the window

To provide access to the report:

  • Select Microsoft Dynamics GP – Tools – Setup – System – Alternate/Modified Forms and Reports
  • Select the Alternate/Modified Forms ID
  • Select the Technical Service Tools option next to Products
  • Select Windows
  • Expand the Payroll Folder
  • Expand the Payroll Transaction Entry option
  • Select Technical Service Tools
  • Save and Exit

Create a Shortcut:

  • Right click in the Navigation Home Page
  • Select Add
  • Select Add Window
  • Find and Expand Technical Service Tools
  • Find and Expand Payroll
  • Select Certified Payroll Report
  • Click Add
  • Click Done

Run the Report:

  • Select the Certified Payroll Report shortcut
  • Select the Job(s)
  • Enter Ending Date
  • Click the Print option

Employee Modifier

This tool enables the user to change the Employee ID of an existing employee.

To Modify the Employee ID:

  • Start the PSTL function in Dynamics GP
  • Select the Employee Modifier option
  • Click Next
  • Enter Starting Employee ID to change and remove
  • Enter the New Employee ID in the New Employee ID field
  • Click Convert
  • Click OK

To change a range of Employee IDs via a spreadsheet:

  • Create a spreadsheet
    • Enter existing Employee ID in the first column
    • Enter the new Employee ID in the second column
    • Save as a text file
  • Start the PSTL function in Dynamics GP
  • Select the Employee Modifier option
  • Click Next
  • Select the Import option
  • Select the Validate button
  • Select the spreadsheet text file
  • Select Open
  • If no errors, Select the Modify button
  • Select the spreadsheet text file
